Terms of Service
These terms govern your use of the Accessory Accounting website and software, provided by Real Smart Ledger LLC ("we," "us," "our"). By installing or using the software, you agree to these terms.
1. Who we are
Accessory Accounting is a product of Real Smart Ledger LLC, a United States limited liability company. When these terms say "the software," we mean the Accessory Accounting desktop application, its accessories, the built-in AI assistant, and related downloads. When they say "the service," we mean the website at accessoryaccounting.com and the AI API endpoints the software connects to.
2. Your account and license
When you purchase, we email you a license key tied to your email address. You may install and use the software on computers you own or control, for as many businesses as you operate. One license is one person's license — not one company's, not one team's. Accountants and bookkeepers serving multiple clients should purchase under our accountant program (see the purchase page).
3. Acceptable use
You agree not to:
- Resell, sublicense, or redistribute the software or license keys.
- Attempt to bypass, disable, or reverse-engineer the license-key system.
- Use the software or the AI service to commit fraud, evade taxes, or otherwise break the law.
- Use the AI service to generate material that is illegal, harmful, or abusive, or to attempt to extract the underlying model weights or training data.
- Interfere with the service — for example, by automated scraping, flooding, or denial-of-service attempts.
4. Changes to the service
We will continue to improve the software and may add, change, or remove features over time. If we make a change that materially reduces functionality you paid for, we'll tell you and make it right — usually by restoring the feature, sometimes by refunding the difference.
5. Pricing and renewal
The software is a one-time purchase. Your license does not expire. The optional annual AI-service renewal ($99/yr at time of writing) keeps the AI assistant updated; if you skip a renewal, the last AI version you had keeps working locally, but you won't receive updates until you renew. We will not auto-charge you for renewals without your explicit agreement at the time.
6. Warranty disclaimer
We work hard to make the software correct, but accounting is complex and mistakes happen. The software is provided "as is." We don't warrant that it's error-free, that it meets every regulatory requirement in every jurisdiction, or that the AI's advice is appropriate for your specific situation. You are responsible for reviewing your books, your reports, and your filings before relying on them. We strongly recommend a qualified tax professional review your year-end filings.
7. Limitation of liability
To the extent permitted by law, our total liability to you for any claim relating to the software or service is limited to the amount you paid us in the twelve months preceding the claim. We're not liable for indirect, incidental, consequential, or punitive damages — for example, lost profits, lost data (back up your file!), or tax penalties resulting from your books.
8. Governing law
These terms are governed by the laws of the United States and the state in which Real Smart Ledger LLC is registered, without regard to conflict-of-law provisions. Disputes will be resolved in the state or federal courts located there.
9. Changes to these terms
We may update these terms occasionally. The "Last updated" date at the top of this page reflects the most recent change. If a change is material, we'll email active license holders before it takes effect.

Privacy Policy
This policy explains what data we collect, what we do with it, and — importantly — what we don't collect.
The short version
Your company file (your ledger, transactions, customers, invoices) lives on your computer. We don't have a copy. We can't access it. When you use the AI assistant, the specific question and related transaction context are sent over HTTPS to our AI service, processed in memory to generate a response, and discarded. We do not send your data to any third-party AI provider. We do not train models on your data. We do not sell data. Ever.
What we collect
Account information. When you purchase, we collect your name, email address, and (optionally) your business name and country. Payment information is handled by Stripe — we receive a confirmation that you paid, not your card details.
License activations. When you first activate the software on a computer, we record the activation event (date, license key, general region) to prevent abuse. We do not record a hardware fingerprint or a persistent device identifier.
AI service requests. When you use the AI assistant, your question and the relevant context (for example, the specific transaction being categorized) are sent to our AI API. We log operational metrics — request count, latency, error codes — with the license key that made the request. We do not log the content of your questions or context.
Website analytics. Our website uses basic, privacy-respecting analytics to understand which pages people visit. We do not use third-party advertising trackers.
Support conversations. If you email support, we keep the email thread to provide continuity. You can ask us to delete it any time.
What we don't collect
- Your company file contents.
- Your transactions, customers, vendors, employees, payroll data, or tax data.
- The contents of your AI conversations with the built-in assistant.
- Device identifiers, browser fingerprints, or cross-site tracking data.
- Location data beyond what your IP address implies for a single session.
Where AI requests go
AI requests go to servers owned and operated by Real Smart Ledger LLC, located in the United States. They do not go to OpenAI, Anthropic, Google, Microsoft Azure, Amazon AWS Bedrock, or any other third-party AI provider. Our AI stack consists of open-source models running on our own GPU hardware.
How long we keep data
Order records and license activations are retained for as long as your license is active plus seven years (for tax and warranty purposes). Operational metrics are retained for 90 days. Support conversations are retained until you ask us to delete them, or indefinitely for active customers so we can pick up where we left off.
Your rights
You can request a copy of the personal data we hold about you, ask us to correct it, or ask us to delete it. Email privacy@accessoryaccounting.com. We respond within thirty days. If you're in the EU, UK, or California, you have additional rights under GDPR or CCPA — same email, same response time.
Cookies
The website uses a single first-party session cookie for cart state on the purchase page, and a first-party analytics cookie for page-view counting. No third-party tracking cookies. No advertising cookies.
Children
The software is designed for business use. We don't knowingly collect data from anyone under 18. If you believe we have, please contact us and we'll delete it.
Changes to this policy
If we change how we handle data in a material way, we'll email active license holders before the change takes effect.
End User License Agreement
This EULA is between you (the licensee) and Real Smart Ledger LLC (the licensor) and covers your use of the Accessory Accounting software.
1. Grant of license
Subject to your compliance with these terms and timely payment of the license fee, Real Smart Ledger LLC grants you a non-exclusive, non-transferable, royalty-free license to install and use the Accessory Accounting software on computers you own or control, for your personal business use or for the business use of companies you operate.
2. What's included
- The Accessory Accounting desktop application.
- All base accessories shipped with the installer.
- The right to connect to the AI service during the term of your AI-service subscription (one year included with purchase; renewable).
- The right to open your company file directly with Microsoft Access and to make custom modifications for your own use.
3. Restrictions
You may not:
- Copy, distribute, or resell the software or any accessories.
- Remove or modify copyright notices, trademarks, or license-key infrastructure.
- Use the software to create a competing product or service.
- Share your license key with people who have not purchased their own license.
- Bundle the software with a commercial service offering (for example, bookkeeping-as-a-service) without an accountant-program license.
4. Ownership
The software is licensed, not sold. Real Smart Ledger LLC retains all intellectual property rights to the Accessory Accounting software, UI, documentation, and trademarks. The underlying accounting engine is derived from Image Accounting PRO (© 2000-2002 Comtech Solutions Worldwide, Inc.) under a royalty-free developer license.
Your company data — your ledger, your transactions, your reports — belongs entirely to you. Nothing in this EULA gives us any rights to your data.
5. Customizations
The software is built on Microsoft Access, which means you (or an accessory you write) can open your company file and customize it. Customizations you create are yours. They are not supported by us unless you purchase an accessory development package.
6. Term and termination
This license is perpetual. It terminates automatically if you materially breach these terms and fail to cure the breach within thirty days of written notice. Upon termination, you must uninstall the software. Company files you created remain yours; you can continue to open and use them with Microsoft Access directly.
7. Disclaimer and liability
See sections 6 and 7 of the Terms of Service above — the same disclaimers and limitations apply.
8. Third-party components
The software uses several third-party open-source libraries. A full list of components and their licenses ships with the application under Help → About → Third-party notices.
Refund Policy
We want you to be happy with the software. If you're not, we'll refund you. No hoops.
The standard refund
Within thirty days of your purchase, you can request a full refund for any reason. Email support@accessoryaccounting.com with your order number. We process refunds within two business days. We do not ask why (though if you tell us, it helps us make the product better).
After thirty days
After thirty days, we generally don't issue refunds on the base software purchase — you've had a month to evaluate it. Exceptions we make anyway:
- If a bug makes the software unusable for you and we can't fix it in a reasonable time, we'll refund you.
- If your business closes in the first year, email us. We'll usually prorate a partial refund on the AI-service portion.
AI renewals
Annual AI-service renewals are refundable within fourteen days of the renewal charge. After that, the renewal is non-refundable, but you always keep the AI version you had before — it just won't update.
Chargebacks
Please email us before filing a chargeback. We'd rather fix the issue or refund you directly than pay the chargeback fees — and we won't blacklist you for asking.
