No. The free Microsoft Access Runtime is all you need, and the installer detects and downloads it for you if it's not present. If you already have Access 2019, 2021, or 365, that works too.
Not natively — the core technology is Microsoft Access, which is Windows-only. Macs can run it through Parallels, VMware Fusion, or a Boot Camp setup. We recommend a small Windows VM for Mac users whose primary machine is macOS.
Yes. The Data Import accessory (included) has pre-built mappings for QuickBooks IIF exports. The AI walks you through the first import, asks which accounts to map to which, and pulls in customers, vendors, chart of accounts, and transaction history. It's usually a single-afternoon migration.
Each of those can export to CSV. The ETL accessory ingests CSV out of the box. The AI helps map the columns to accounting fields on first import — after that it remembers, and subsequent imports are one click.
The accounting application is on your computer. Your data is on your computer. Neither depends on our servers to work. If we closed tomorrow, you would lose only the AI chat features — the books, the reports, the printing, the accessories you already have installed — all continue to work forever.
Your data lives in a single .accdb file (local mode) or in your SQL Server database (multi-user mode). Copy the .accdb file to an external drive, OneDrive, Dropbox — anywhere. The built-in backup scheduler can do it automatically on a schedule you set.
Yes, several ways. (1) They can install the application and open your backup file in Accountant Mode. (2) You can give them remote access to your computer during tax season. (3) If you're on SQL Server, they can log in as a user. All three are in active use by real customers.
The Payroll module generates the data you need — 941 worksheets, W-2 data, state withholding summaries. Electronic filing to the IRS and states is typically done through your state portal or a payroll-specific service; we're not a CPEO. For fully managed payroll, an accessory can bridge to Gusto, ADP, or Paychex.
Absolutely. The invoice report is editable in the built-in Access report designer. Drop in your logo, change colors, rearrange fields, add or remove columns. The AI can also generate a new invoice template from a description — "make it more modern, with our brand blue on top" — and install it for you.
Occasionally, which is exactly why the default mode is approve-before-post. The AI drafts every transaction; you confirm. You see the proposed entry before it touches the ledger. Auto Mode only unlocks after the system demonstrates extended accuracy, and you can switch it off any time.
Email us. The accounting engine is 25 years old and well exercised; novel bugs are rare. AI features are newer and do get updates. We release engine updates for free for the life of the product.
Download the installer (link in your purchase email), run it, paste your license key, and the AI walks you through restoring your data from your backup. If you're on SQL Server, just re-point the application at the server.
